For campus staff · worksheet
Who to involve.
A move-out reuse program touches six or seven departments, and each one is used to being asked for something specific. This sheet is the conversation to have before your first season: who is in, who still needs asking, and who covers what. Print it, fill it in by hand, and bring it to your onboarding call.
1. The departments
For each one: who you know there (name, title, email), what they usually cover, and where things stand. Tick a box as it changes.
| Department | Who (name · title · email) | What they usually cover | Where it stands |
|---|---|---|---|
| Housing & Residential LifeAsk: Who publishes the move-out schedule, and who can put a flyer under every door? | Move-out dates, hall-by-hall checkout days, resident assistants on the day, lobby space for a box in every building. | ||
| Sustainability OfficeAsk: Is this program ours, or are we supporting someone else's? | The program's home, volunteers, the diversion numbers that go into STARS and the climate action plan. | ||
| FacilitiesAsk: Which lots can take a 16-ft container, and where can items wait until September? | Where containers can sit, summer storage, trucks and hauling, keys and access. | ||
| Student AffairsAsk: How do we get the move-out page in front of every student? | Reaching students, orientation and move-in, the shop's place in move-in week. | ||
| Parking & TransportationAsk: What does a container on Lot B need, and by when? | Permits for containers on lots, truck access on move-out days. | ||
| Environmental Health & SafetyAsk: What goes elsewhere, and where exactly? | What can't be collected (appliances with refrigerant, chemicals), e-waste routing. | ||
| DiningAsk: Will you take sealed food, and from where? | Unopened food from move-out to the campus pantry. | ||
| Student eco clubAsk: How many people can you put on a shift, and which days? | Volunteers at the collection points, word of mouth, sorting over the summer. | ||

2. What you need, and who covers it
Container hubs need labor, storage, containers and marketing; a box in every building adds the boxes and the truck runs. Write a department beside each line, or a dollar figure, or both. The lines nobody covers are your budget ask.
| Need | Provided by (department) | Paid for by | Still open? |
|---|---|---|---|
| Labor: staff and volunteers on the day | Yes | ||
| Storage space over the summer | Yes | ||
| Containers or Gaylord boxes | Yes | ||
| Trucks and hauling | Yes | ||
| Flyers, signs and marketing | Yes | ||
| Budget: who pays for what isn't covered in kind | Yes |
Bring this to your onboarding call. The containers, hours, points and volunteer shifts are planned in the ReDorm platform afterwards; the one thing it never asks for is this sheet, because it belongs to your campus, not to a season.
